Job Title: FRONT DESK OFFICER
The Front Desk Officer is the Personal Assistant to the Managing Director and the first point of contact for the company and therefore the face of the company. He/She is responsible for handling front office reception and administration duties of the company and assisting in typing for the Managing Director and other staff members when required to do so.
JOB DESCRIPTION
• Welcomes visitors by greeting them warmly in person or on the phone and making sure they are comfortable.
• Provides exceptional customer service to guests by answering questions and addressing complaints or referring inquiries.
• Answers and directs incoming calls and takes messages.
• Directs visitors by maintaining employee and department directories.
• Gives instructions and routes incoming calls to specific people and takes messages for out-of-office staff.
• Ensures the front desk and office areas remain tidy and the kitchen is stocked with appropriate refreshments for both employees and guests.
• Ensures guests are offered refreshments.
• Keeps record of staff and visitors signing in and out of the building.
• Checks & signs for deliveries.
• Collects data and distributes mail to relevant staff members.
• Take minutes during meetings.
• Makes travel arrangements for staff and the MD.
QUALIFICATION AND EXPERIENCE REQUIREMENTS:
• Diploma in Secretarial Studies or a related qualification.
• At least two years’ experience as a secretary or Front Desk Officer.
• Must possess a valid driver’s license of more than two years for a manual and automatic vehicle.
